Privacy Policy

1. Who we are
NivaasBooks is a software-as-a-service platform for Indian housing societies, operated by Amit Hire. Our registered address and contact email is support@nivaasbooks.in.
2. What data we collect
We collect the following categories of data:
- Account data: Name, email address, and password (hashed — we never store plaintext passwords).
- Society data: Society name, address, member list, flat numbers, maintenance bills, payment history, and uploaded documents.
- Payment data: We use Razorpay to process payments. NivaasBooks does not store card numbers or banking credentials. We store payment confirmation IDs and subscription status.
- Usage data: Server logs, page visits, and error reports — used solely to maintain and improve the service.
3. How we use your data
- To operate the NivaasBooks platform and provide features you have paid for.
- To send transactional emails: invoices, receipts, password resets, and document expiry alerts.
- To manage your subscription and billing via Razorpay.
- To respond to support requests.
- We do not sell your data to third parties.
- We do not use your data for advertising.
4. Data storage and security
All data is stored on Supabase (PostgreSQL), hosted on AWS infrastructure in Singapore (ap-southeast-1). Data is encrypted at rest and in transit using TLS 1.2+.
Row-level security (RLS) is enforced at the database level — each society admin can only access their own society's data. Residents can only access their own flat's documents and bills.
5. Document storage
Documents uploaded to Flat Vault (PDFs, images) are stored in Supabase Storage with private access controls. Only authorised admins and the flat's owner can access uploaded documents.
6. Third-party services
- Supabase — database and authentication
- Razorpay — payment processing (PCI-DSS compliant)
- Resend — transactional email delivery
- Vercel — web hosting and edge infrastructure
Each provider has their own privacy policy and security certifications. We only share the minimum data necessary for each service to function.
7. Data retention
Your data is retained for the duration of your subscription and for 90 days after cancellation, during which you may request a data export. After 90 days, data is permanently deleted upon written request.
8. Your rights
You have the right to:
- Access all data we hold about you
- Request correction of inaccurate data
- Request deletion of your account and associated data
- Export your society's data in CSV format

9. Cookies
NivaasBooks uses a single session cookie for authentication (managed by Supabase). We do not use tracking cookies, advertising cookies, or third-party analytics.
10. Changes to this policy
We may update this policy from time to time. Material changes will be communicated by email to registered admins. Continued use of the platform after notification constitutes acceptance.
